The processing of your personal data is carried out by or on behalf of the Geocaching Association of Great Britain (GAGB).

We respect your privacy and are committed to maintaining the security of your personal information. This policy outlines how and why we collect and use personal data. We want to ensure you are informed and in control of your data.

Please be assured that we will never sell your personal data, and will only ever share it with third parties where we have your permission and/or where it is necessary for us to fulfil a contract or service obligation.

What Information do we Collect?

We collect personal data provided by you. This includes information you give us when you join as a member, register on our site and/or place an order or become a GAGB Friend. We may collect information from social media or if you post on one of our social media pages.

For example:

  • We collect personal details such as your email address and geocaching username when you join the Geocaching Association of Great Britain (GAGB) and how you would like us to contact you.
  • We collect financial information such as payment information when you make a donation or purchase from our online-shop.

When ordering and/or registering on our site, as appropriate, you may be asked to enter your: name, e-mail address, mailing address or phone number. You may, however, visit our site anonymously and purchase any product as a guest.

Membership Data

When you become a member, we will hold personal information about you to help administer your membership (for example, your email address and geocaching username). Your details will be treated with confidentially.

To Process Transactions

The email address you provide for order processing, may be used to send you information and updates pertaining to your order, we do not send marketing emails to our online shop customers. Your information, whether public or private, will not be sold, exchanged, transferred, or given to any other company for any reason whatsoever, without your consent, other than for the express purpose of delivering the purchased product or service requested.

To Send Periodic Emails

The Geocaching Association of Great Britain (GAGB) will use the information you provide to send you important email messages from time to time including election emails, our quarterly Seeker magazine and/or our monthly news update. Our regular emails promote geocaching in the UK and the work we do. This includes keeping you up to date with our news, campaigns, products, events, surveys and fundraising activities.

You can unsubscribe from receiving our regular communications at any time. If you no longer wish to receive future emails you can change your mind at any time by clicking the unsubscribe link in the footer of any email you receive from us, or by deselecting 'Receive Emails from the GAGB' within the vBulletin forum settings or by contacting us at gagbcontact@gagb.org.uk. We will treat your information with respect.

We use Mailchimp as our marketing platform. By subscribing to our emails, you acknowledge that your information will be transferred to Mailchimp for processing. Learn more about Mailchimp's privacy practices here.

Other GAGB members may want to send you private messages from time to time. If you wish to receive such messages then select 'Receive Messages from other Members' option within the vBulletin forum settings.

Administration

We collect and use personal data for administrative purposes only.

This includes:

  • Receiving membership details and donations (e.g. email address or payment details).
  • Maintaining a contact databases of our volunteers, members and supporters, and their contact permissions.
  • Performing our obligations to fulfil membership contracts.
  • fulfilling orders, or for other services (placed online or in person).
  • Helping us respect your choices and preferences. For example, if you ask us not to send you any emails we’ll keep a record of this so that we know not to contact you again.

Sometimes we will need to contact you, regardless of any contact preferences you may have specified. This will only ever be for essential communications in order to fulfil our promises to you as a member, volunteer or buyer of goods or services from the Geocaching Association of Great Britain (GAGB).

These communications include:

  • An annual election ballot in November to elect a GAGB chair and/or committee members.
  • Your membership renewal reminder if your membership will soon lapse after three years of inactivity.
  • Your quarterly membership magazine. Please be aware that the magazine includes advertisements, competitions and donation information.

If you are registered as a GAGB Friend you may also receive regular volunteer updates about our work in relation to your role as a volunteer.

We offer the use of a secure server. All supplied sensitive/credit information is transmitted via Secure Socket Layer (SSL) technology and then encrypted into our Payment gateway providers database only to be accessible by those authorized with special access rights to such systems, and are required to keep the information confidential.

Young People

We will not accept donations or orders for products from persons aged less than 18 years of age. If you are a parent or guardian and you are aware that your child has provided us with personal data, please contact us.
